Facility Rentals - Policies

Reservations Procedures

Reservations will be accepted a maximum of one year in advance.

Security/cleaning deposit is required to secure a date. The check should be payable to LOEL Center and Gardens.  Your deposit fee is additional to the rental fee. Please see rental rates for deposits and rental amounts.

A rental fee must be paid in full 30 days prior to date of the event .  The check should be payable to LOEL Center and Gardens.  If it is not, we regret that your reservation will be cancelled and your deposit will be forfeited.

Liability Insurance Binder $300,000 (see Insurance for more information) is required for all events.

Time Reservations are for one day only (8:00am to 11pm, including cleanup). Maintenance will unlock at an agreed-upon time and will remain unlocked until closing.  YOU WILL BE RESPONSIBLE FOR THE BUILDING SECURITY UNTIL SECURITY OFFICER(S) ARRIVE OR MAINTENANCE PERSON RETURNS TO LOCK UP. Do not leave the building unattended!  The LOEL Center is not responsible for items left in the building, or missing during or after the event.

Cancellations

Full deposit and paid rental fees are refunded by mail if a written cancellation request is received at least 60 days prior to the date of the event. The deposit is forfeited along with 1/2 of total rental fee if a written cancellation request is received less than 60 days prior to the date of the event.

No Smoking

The LOEL Center and Gardens in a non-smoking facility by city ordinance #1488. Rooms are posted and renters are expected to comply.  Ignoring this voter -approved regulation will result in forfeiture of ALL deposit fees.

Services Provided

A maintenance person/security guard will be on site to open and close the facility, and will be available by phone only in case of emergency.

Tables and chairs will be provided. No labor is provided the day of the event for setup.

You will only be allowed to use the items you have requested in advance on your deposit agreement.

The maintenance staff will check the condition of the facility after your event to determine if any damage or overtime had occurred or if additional cleanup is needed.  You will be notified the week after your rental if any of your refundable deposit is required to pay for extra clean up or damages.

Your Cleaning Responsibilities

Tables, Chairs, and Kitchen facilities used must be cleaned and wiped down.

Food, Beverages, and all spills must be cleaned up from floors and/or walls.

All decorations must be removed at the close of the event.  Facility decorations must be left in the same condition as when you arrived.

It is your responsibility to notify your caterer of their cleaning responsibilities.

Garbage must be picked up and placed in bins located in the alley

Chairs need to be folded and placed on top of tables

Decorations

Decorations are limited to table centerpieces or freestanding items only, No exceptions. No items may be hanging from ceiling. No nails, tack pins, or staples may be used on walls, ceilings, floors, or fixtures inside or outside the facility.

All decorative materials used shall be fireproof. All candles must be in secured container!

No rice or birdseed allowed on premises.

Security

A licensed security guard or LOEL Staff member is required for all functions held at the LOEL Center and Gardens. Security guards will be hired by LOEL Center and Gardens and renters will be billed for services.  Guards will be present ½ hr prior to guest arrival and remain until building is empty and ready to be locked up.  LOEL will provide security personnel familiar with rules and regulations.

Security cameras are on site to record all activity for the safety and security of LOEL, participants, staff, visitors, cars, and LOEL senior housing.  At no time can cameras be blocked by decorations, paper, or anything else that would obstruct the cameras view.  Security cameras and recorded video are property of the LOEL center.

Insurance

A $300,000 Liability Insurance Binder is required to rent the LOEL Center.  The person submitting the insurance binder will be the renter of the building.  Please be sure to check with your policy/agent for coverage of beer, wine, champagne, or alcohol if you plan to use any of them at your event.

Renter will be responsible for any and all damages sustained during or as a result of its rental. LOEL reserves the right to withhold the cleaning/security deposit until settled.

In the event legal proceedings become necessary to enforce the terms of this agreement, the prevailing party in such action shall be entitled to attorney’s fees, costs and such other relief as may be granted by a court of competent jurisdiction.

Alcoholic Beverages

Beer, wine, and champagne are permitted only if approved by insurance company.  Other alcoholic beverages require approval of LOEL Center Site Manager.

A permit to sell alcoholic beverages must be obtained from the State Alcoholic Beverage Control Department, 31 Channel St., Stockton.  A license fee will be charged by the State.  Only a cashier’s check, money order, or cash will be accepted by the ABC office. An approval letter signed by the center's manager must be requested by the renter one month prior to event before a license can be issued.

Consideration of Neighbors

Renters of the LOEL Center need to be aware of the City’s Noise Ordinance #1449 and be sensitive to the fact that the LOEL Center is located in an urban setting. Excessive noise (i.e. bands, disc jockeys, musical instruments, demonstrations, etc.) past 10:00 could result in a visit from the Lodi Police Officers and/or cancellation of said event.

Additional Notes

There will be an additional $40 charge for reopening the facility after the initial opening. Any additional inside set-up requiring unusually difficult formats will be assessed and may result in additional fees. Rental of facilities is subject to availability. The center reserves the right to refuse rental to any event.

Rates are subject to change without notice.

No one is allowed in the lobby once the event is started. 

All balloons must be popped before exiting the building.
